How to write a great Receipt

A receipt is a quiet trust signal. Customers, donors, and tax preparers all judge an organization by how confidently it documents the money that changes hands.

A clear receipt closes a loop. It tells the payer "I got this, you are done," which is more emotionally important than people give it credit for in the moment.

Receipts are the documents you reach for months later, when memory has faded and the original conversation is long gone. They have to stand on their own.

A clear receipt prevents disputes you would otherwise have to have over email weeks later. The cost of issuing a clean receipt is seconds; the cost of relitigating a transaction is hours.

Practical tips that actually move the needle

  • Always include the date, the amount, the payer, and what the payment was for. Leave nothing implicit.
  • For donation receipts, include your nonprofit's EIN and the "no goods or services were provided in exchange" line.
  • Number receipts sequentially. Audit trails depend on it.
  • Send the receipt within 24 hours of the payment, by email or paper. Delayed receipts feel suspicious.
